Job Description Reporting to the Trauma Program Manager, the Trauma Registrar is responsible for managing the Trauma data registry. This work involves identification, collection, coding, Injury Severity Scoring and entering patient data into the NTRACS database. Data collection, coding and maintenance of the registry are required to ensure compliance with ACS guidelines as Level 1 trauma center. This position is responsible for calculating the injury severity index score and probability of survival for trauma patients. Responsible for report generation and interpretation related to clinical outcomes analysis, performance improvement, administrative planning and data research requests. Principal Duties and Responsibilities: 1. Serves as knowledge expert for the trauma registry database. 2. Identify trauma patients from performance manager on a daily basis. Reviews all ED trauma record to ensure capture of 100% trauma population each day. 3. Abstracts 50+ clinical and demographic data elements from on line medical records of all patients admitted to the trauma service. May need to utilize the paper medical record to complete abstraction activities. Concurrent and retrospective reviews will be required to collect required data elements. Access to medical records, emergency room, trauma intensive care unit, in-patient floor units and/or other areas within the medical center where trauma patients access care will be required. 4. Responsible for Injury Severity Index Scoring of all trauma patients utilizing the AIS scoring methodology. This requires special certification to perform this function. 5. Serves as active participant in the Trauma Center?s continuous quality improvement program through management of the trauma registry database. As gatekeeper of trauma registry, plays a critical role in establishing clinical QA indicators for performance improvement activities in collaboration with trauma program manager and trauma medical director. 6. Responsible for maintaining database on all trauma related deaths for more detailed QA review. 7. Interprets and disseminates trauma data via standard, ad hoc and custom reporting generated from the NTRACS system. Interprets this data as necessary for various constituencies throughout medical center. 8. Responsible for ensuring accurate data abstraction through ongoing QA and data validation processes as accuracy of data is paramount to maintain regulatory compliance and accreditation. 9. Responsible for data submission processes to regulatory agencies ? specifically the Massachusetts Department of Public Health and National Trauma Data Bank (NTDB). This involves data review, validation and compilation to ensure regulatory compliance and accreditation. Data submissions are quarterly. 10. Responsible for generation of reports from registry database on a monthly basis with analysis of statistical data for presentation at the monthly Trauma Care Committee Meeting. 11. Performs data quality control reporting, collating, analyzing and summarizing findings. Responsible for identifying opportunities for improvement. 12. Responsible for identifying clinical outliers for inclusion in the monthly QA/PI process. 13. Serves as expert resource to other trauma registrar staff regarding abstracting, coding, ISS/AIS scoring, as well as serves as expert with the NTRACS software program. 14. Participates in research activities as requested, primarily with custom report writing and review of data. 15. Serve as the primary liaison between the Trauma Program and the hospital medical records department. 16. Participate with the program manager and medical director in the review and development of registry and quality assurance indicators, monitors and quality assurance reports. 17. Serve as key liaison with database software vendor, National Trauma Databank and other external registry related agencies. 18. Will supervise other registrars as additional staff is hired.
Qualifications Qualifications / Skills & Knowledge Requirements: ? Bachelor Degree in medical record administration or related field required. Certification as medical records administrator and/or medical coder strongly preferred. Significant related work experience may be considered in lieu of the Bachelor Degree. ? Strong medical terminology required with at least 3 years of healthcare experience, preferably in trauma, surgery, critical care or emergency department required. ? Certification in Injury Severity Index Scoring/AIS required either before hire or within the first 90 days of employment ? Solid knowledge of ICD-9-CM and CPT4 HCPCS coding systems required. ? Knowledge of database management and Microsoft Word, Excel, and Powerpoint necessary to effectively complete job requirements. ? Work requires high degree of initiative, judgment, discretion and ability to function independently. ? Must be detail oriented, possess strong organizational skills and be able to prioritize a large volume of work in order to complete not only the daily duties of the job but also any projects that may be assigned.
